Position Overview:
Alix, an Estate Settlement startup company is seeking a highly organized and detail-oriented Probate Specialist to join our growing team. As a Probate Specialist, you will be responsible for managing the administrative aspects of estate and trust settlements, ensuring that all required legal steps are taken in accordance with state-specific probate laws. You will collaborate closely with customers, assist in petitioning for probate, monitor court updates, and handle inventory and appraisal steps. While you will not be providing legal advice, your expertise in the probate process and estate settlement procedures will be crucial for the smooth progression of the cases you manage.
Key Responsibilities:- Estate/Trust Management: Handle a caseload of approximately 50 estates or trusts at a time, ensuring that each is progressing according to the relevant legal steps and timelines.
- Probate Petition Assistance: Assist customers in filing probate petitions (ProSe), guiding them through the process where applicable in states that do not require an attorney.
- Collaboration with Attorneys: In states that require an attorney for probate, work closely with the customer’s chosen attorney or assist in locating one. Ensure that the attorney is supported with necessary documentation and administrative work.
- Court and Probate Monitoring: Regularly monitor county court websites for updates on probate cases, including court filings and hearing dates and tentative rulings or examiner’s notes. Communicate these updates to customers in a timely manner.
- Document Review & Compliance: Review and verify trust documents, inventory lists, and other estate-related paperwork to ensure that all actions comply with state probate laws and court requirements.
- Customer Communication: Maintain regular communication with customers, providing updates, answering queries, and guiding them through various stages of the probate process.
- Inventory & Appraisal Coordination: Oversee the process of inventorying estate assets, ensuring proper valuation and appraisals are conducted as required.
- Providing the Probate Accounting: Prepare and maintain detailed probate accountings, ensuring that all assets, debts, and expenses are properly accounted for and documented throughout the probate process. This includes coordinating with the assigned Care Team Specialist to gather necessary information, creating clear and accurate reports for the court, and ensuring compliance with state requirements.
- Coordination with The Care Team Specialist: Collaborate with dedicated Care Team Specialists to handle non-legal aspects of estate settlement, ensuring a seamless and comprehensive service for the client.
- Experience: Minimum of 3-5 years of experience as a probate paralegal, probate examiner, or in a similar role that involves handling probate and estate settlements
- Knowledge: Strong understanding of probate and estate laws, including familiarity with the probate process in different states (both ProSe and attorney-required states).
- Skills:
- Excellent organizational and time-management skills to handle a large caseload effectively.
- Strong communication skills to liaise with customers, attorneys, and team members.
- Attention to detail and the ability to review complex documents.
- Ability to monitor and track progress across multiple estates and trusts.
- Comfortability with technology, including court websites and other administrative tools used in estate management.
- Education: Paralegal certification or equivalent education/experience in probate law and estate management.
- Associate's or Bachelor’s degree in Business Administration, Paralegal Studies, Legal Studies, or a related field is preferred. Relevant work experience in estate management, probate law, or paralegal support may be considered in lieu of formal education.
- Self-Starter: Ability to work independently in a remote environment with minimal supervision.
- Familiarity with virtual collaboration tools (e.g., Zoom, Slack, Microsoft Teams, etc.) is essential.
- Ability to work remotely and manage a caseload of 50+ estates or trusts simultaneously, ensuring deadlines and compliance with all state requirements.
- Ability to maintain confidentiality and manage sensitive estate-related information with discretion and professionalism.
- Prior experience with remote work and ability to self-manage a structured schedule.
